Data Security & Recovery

What recovery mechanisms are in place if the database is deleted or corrupted?

All data is stored on the Google Cloud Platform. Data is backed up multiple times per day and can be restored easily. For added redundancy, database backups are copied to a different data center daily.

How long is data retained, and can specific records be restored?

Daily backups are retained for 3 months, and monthly backups are retained for 1 year. Specific records can be restored from these backups if necessary.

How are sensitive floor plans and layout data protected from unauthorized access?

Access to data is strictly limited to personnel who require it for their roles (e.g., backup/restore, troubleshooting) and requires multi-factor authentication (MFA). All data is encrypted both at rest and during transfer, following industry best practices.


User Access & Permissions

Can access be limited by project, location, or user role?

Yes, access can be restricted in multiple ways through the use of specific access profiles and user roles (e.g., installer vs. auditor).

How is the traceability of data uploads and changes ensured?

All operations within the system are logged with a reference to the user who performed the action. Furthermore, all events in the application are timestamped.

Do users need individual accounts for Android devices?

Yes, users log in on Android devices with their individual accounts, the same as they would on the web. Sharing a user account between multiple people is not recommended. Please note that the system cannot uniquely identify the specific Android device used for an action, only the user account.


System Features & Functionality

How does the system handle simultaneous edits to the same item by two different users?

The system does not provide a real-time warning to users editing the same item. The most recent change will be saved and take effect. However, both conflicting changes will be recorded in the activity log for traceability.

Does the system support a “four-eyes principle” (dual validation) for high-risk data changes?

No, this feature is not currently supported.

Can real-time alerts be configured for high-risk actions like mass deletions?

No, this feature is not currently supported.


Updates & Support

Will we be notified before system updates occur?

Application updates are performed seamlessly and such without notice. In the unlikely event that an update affects user access, affected users will be informed.

What is the support response time if we experience a system outage?

You can typically expect a response from a Subject Matter Expert (SME) within a few hours during business hours. Outside of office hours the support is best effort.
